BYLAWS
CalHauntS ByLaws (dated this day of 11/11/06, revised/defined February 13, 2016)

 

PURPOSE
CalHauntS main purpose is to provide monthly meetings/workshops at which items are fabricated for use in Halloween/haunt attractions or displays.

BOARDS
CalHauntS shall have no president, secretary or treasurer, and no one individual shall make decisions for the group.

TREASURY
CalHauntS shall maintain no treasury and collect no dues. It will remain a pay-as-you-go group in all respects.

ORGANIZING COMMITTEE
CalHauntS meetings/workshops shall be organized by a CalHauntS Organizing Committee with volunteers of five members working together (no leader), chosen at random at the August meeting/workshop for the following year from a pool of those volunteering.
Volunteers for the CalHauntS Organizing Committee shall have attended at least three meetings/workshops in the past year, and shall plan on attending as many as possible as they help in the coming year.

ORGANIZING COMMITTEE ALTERNATE
The CalHauntS Organizing Committee shall arrange for Organizing Committee Alternate(s), up to three.
For example: Workshop logistics, New members, Potluck, Door prize

MEMBERS
Anyone is welcome to join CalHauntS and begin receiving group email.
All Members are expected to participate and/or contribute in some way, e.g:  attend meetings/workshops, online discussions (Yahoo or Facebook), video presentations/tutorials, or other CalHauntS activities.

Members unable to participate must be sponsored by an Active Member, in order to keep membership.

ACTIVE MEMBERS
In order to vote when voting is planned, or as the need arises, one must be an “Active Member”.
An “Active Member” is one who has attended at least two meetings/workshops in the past year. The November social counts toward this requirement, as do any additional “side” meetings/workshops if they are designated CalHauntS events (ie: 2005’s welding workshop/Tours).
Active Members are not required to have an individual email address to vote (members in same family/household can share one email address but still submit their own vote)

MEMBER REMOVAL
A member of CalHauntS can only be removed from the group by a majority vote of “Active Members”.

WORKSHOP FINANCIAL RISKS
CalHauntS workshops shall be provided to it’s members for the actual cost of materials necessary for the project.
Any member expending his/her funds to purchase goods or services for or on behalf of the group does so at his/her own financial risk if the expenditures have not been authorized in advance by majority vote of the active membership.

COMMUNICATIONS
CalHauntS members shall disseminate information to each other via an online message board and/or social site.

YAHOO MODERATORS
Message board moderator(s) shall serve for no more than one consecutive year and be comprised of current serving CalHauntS Organizing Committee member.

YAHOO OWNER
An online-group owner (in the case of Yahoo Groups) will be maintained by CalHauntS Organizing Committee, so that no one individual controls the group.

1st AMENDMENT in brief (dated this day of 5/12/2007):

  • Membership Age Restrictions

“A CalHauntS membership is restricted to those 18 years of age and older.
People younger than 18 years of age are welcome to attend meetings, at the discretion of the meeting host, provided they are accompanied by a responsible adult. In the event that the accompanying adult is not a parent or legal guardian, a completed “Medical Authorization for Minors” form is required.” The Medical Authorization for Minors form is available for download from www.calhaunts.com.” This amendment was created by the 2007 scheduling committee members with the assistance of the original by-laws authors in compliance with the California Medical Association and made under Family Code §6910.

1st AMENDMENT, in full dated this day of 5/12/2007:

  • Membership Age Restrictions

On the said date above any CalHauntS membership is hereby restricted for those whom are of 18 years and older. For those whom age group does not meet the restriction of 18 years of age or older are welcome to attend CalHauntS monthly meetings, provided at the discretion of the meeting host(s) at such host’s place and or establishment, for which they must be accompanied by a responsible adult who shall be a parent with legal custody or guardian with legal custody. In the event that an accompanying adult for which is not a parent with legal custody nor guardian with legal custody of such said minor, a completed “Medical
Authorization for Minor(s)” (CONSENT TO MEDICAL TREATMENT) form is required (California Medical Association) to be filled out by parent with legal custody or guardian with legal custody prior to minor(s) arrival. Such said document shall be presented to meeting host(s) upon arrival at place and or establishment, by said accompanied adult with authorized signed document in hand of said minors parent with legal custody or guardian with legal custody.

This 1st AMENDMENT was created by the 2007 scheduling committee members with the assistance of the original by-laws authors. This 1st AMENDMENT with said form (CONSENT TO MEDICAL TREATMENT) is in compliance with the California Medical Association, made under Family Code §6910 for medical treatment of a minor without parent with legal custody or guardian with legal custody present.

2nd AMENDMENT (dated this day of 05/09/2009):

  • Amendment: CalHauntS Meeting Definition

CalHauntS has two types of meetings that can be considered as Officially Sanctioned meetings; Regularly Scheduled and Special Event. A Regularly Scheduled meeting occurs each month, other than October and December, on the weekend of the second Saturday. The meeting may be set for Saturday or Sunday, though Saturday is the usual and customary day for meetings. A Special Event is a meeting, field trip or other gathering that is approved by the Committee for events beyond the scope of a Regularly Scheduled meeting, to which all Members are entitled to attend. Voting is allowed to occur only at a Regularly Scheduled monthly meeting.

3rd AMENDMENT (dated this day of 05/09/2009):

  • Amendment: Spamming

A CalHauntS member spamming or otherwise soliciting their business, commercial event or other commercial activity through the CalHaunts Yahoo Email List, is valid only insofar as said spam is Halloween or Haunt oriented and comes with a specific benefit ( such as discounts ) to the CalHaunts Members. In the event a Member has abused the approved use of the Email List, a Committee Member will warn by email the offending party and copy all other Committee Members. A second unauthorized spam will be considered an Extraordinary Circumstance and the Committee may bring to a vote the removal of the person from CalHauntS

4th AMENDMENT (dated 02/13/2016):

MEMBERSHIP COORDINATOR
Membership Coordinator is a voluntary position and shall serve for no more than one consecutive year, attended three or more meetings in a year, keep records of the membership, review requests to join CalHauntS, introduce new members at meetings and shall gather monthly meeting attending lists and follow Membership Coordinator guidelines.
This 4th AMENDMENT was created by the 2015 CalHauntS Organizing Committee Members

5th AMENDMENT (dated 02/13/2016):

PRIZE TABLE
All Prize Table items donated will be presented as “prizes” for the name drawing with exception of the Grand Prize (if one is available).
Member hosting meeting at their home gets first pick from prize table, with exception of the Grand Prize (if one is available).
Once all names have been drawn, all remaining unclaimed items will be offered up free-for-all.
Grand-Prize (if one is available) drawing will be held after the free-for-all.
Unclaimed items are not to be left behind.

  1. Members are responsible to remove all items they donated if the items are unclaimed at the end.
  2. Unclaimed items (small in size) can be placed in the hosts trash receptacle if approved by the host.
  3. Unclaimed items will not be packed away and presented again at the next meeting.

This 5th AMENDMENT was created by the 2015 CalHauntS Organizing Committee Members
